The role in brief…

The Head of Operations reports directly to the CEO and works in close partnership with other members of the senior leadership team. Your primary responsibility will be to operationally manage the systems and processes associated with the profitable delivery of our marketing services to clients in Ireland and internationally.

Operational Management:

  • Develop/support the execution of appropriate systems, policies and procedures which result in the more efficient and profitable delivery of our services.
  • Maintain a quality service by establishing and implementing operational standards, delivering customer service training, surveying customers and evaluating outcomes.
  • Help to resolve customer problems in conjunction with client managers.
  • Collaborate with the commercial team to ensure the effective onboarding and flow of work into the business.
  • Work with internal stakeholders on resource planning utilising our internal resource planning tool.
  • Establish, standardise and maintain work process flows.
  • Establish, standardise and maintain key performance indicators by coordinating information and requirements with client managers and departments.
  • Set up weekly/monthly performance dashboard reporting.
  • Examine existing technology, tools and business systems, recommending upgrades, transitions, integrations and controlling installations.
  • Maintain professional and technical knowledge by pursuing continuous training such as: Lean/Agile, reviewing professional publications, establishing professional networks, benchmarking state-of-the-art practices, and building relationships with the various government agencies and key influencers in the industry.
  • Develop a strong partnership with the CEO and other members of the senior leadership team.

  • Facilitate and drive project collaboration, ensuring that key conversations happen in a timely manner.

You Will:

  • Excel at managing expectations and resolving project-related issues.
  • Manage assigned projects to time, to budget and expected quality.
  • Proactively identify and solve issues and mitigating risk.
  • Drive decision-making around projects, ensuring that key stakeholders are involved and consulted at the right moments, resulting in projects being more efficiently delivered.
  • Proactively identify operational improvements.
  • Simplify working processes where possible.
  • Work with the CEO and department heads on resource planning.
  • Weekly coordination of the workflow resourcing tool– consolidating and inputting resource plans, outputting utilisation plans, identifying solutions within the team (for over/under capacity).
  • Recruit and process freelancers and outsourced partners when required.
  • Be involved in recruiting, selecting, onboarding, and training new employees.

Education, Experience Requirements:

  • Bachelor’s Degree in operations/marketing or related field
  • 3-5 years operational experience
  • Previous management or supervisory experience
  • Prior experience in a marketing or consulting business environment would be a decided advantage
